Guidelines for Presenters at IOIS 2019 

ORAL PRESENTERS
and preparation of powerpoint presentations


Oral presenters are speakers in the invited sessions, the Free paper sessions and the Free paper Rapid Fire session.

Speakers must read the following instructions and are requested to strictly respect the allocated time to guarantee smooth running of the sessions.

IOIS 2019 offers a high-performance computerized network running the Windows operating system to manage all slide projections. All presentations will be sent to the assigned meeting room from the central server at the Speakers room, by the technical staff. This procedure ensures efficient management and higher quality of projection. The use of personal laptops for presentations is actively discouraged.

  • Uploading of presentation in Speakers' room starts from Wednesday, November 13, at 7:00.  Make sure you deliver your presentation on a USB memory key to the Speakers' room at least 2 hours in advance or the day before if your presentation is scheduled early in the morning.

  • The Speakers' room opening hours are:
    o Wednesday Nov. 13 from 07:00 to 18:00
    o Thursday Nov. 14 from 07:00 to 18:00
    o Friday Nov. 15 from 07:00 to 18:00
    o Saturday Nov. 16 from 06:30 to 16:00
  • In the Speakers room, a technician helps the speaker to transfer his or her presentation into the central congress network. When the transfer is complete, the technician performs a quick run of the presentation so the speaker can check whether the presentation runs correctly and all parts of the presentation are copied. Computers will be available at the Speakers room for last minute changes and reviewing your presentation, if needed.

  • The supported software for presentation is PowerPoint. Keynote is not supported. All presentations will be presented at a resolution of full HD 1920 x 1080 in 16:9 format

  • When using videos, MPG and AVI are the most used video formats. Any video/film/image file must be in the same folder of the PowerPoint presentation and must be copied in the folder before being included in the presentation. Alternatively, use the option "Pack and go" or "Package to CD/DVD/USB" in the PowerPoint software. It is recommended that embedded movies start automatically after slide transmission rather than by mouse click. We suggest putting a maximum of one movie per slide.

  • When preparing your presentation we recommend you to download and use the IOIS 2019 Master Slide freely available on the IOIS website.

  • At the end of the congress, all presentations will be deleted so that no copyright issues will arise.

  • Include your conflict of interest statement in the first slide. (please specify any consultancy relation to pharmaceutical companies, industries, etc..).

  • Ensure that you are aware of the time limit of your presentation and that you do not exceed this limit.

Oral presentations in Free Paper Sessions are limited to 8 minutes, followed by 2 minutes of discussion. The session Chair will strictly enforce this schedule. Oral presentations in Invited sessions follow a specific timing. Invited speakers are advised to check the online programme and check with their chairperson/organizer about timing.

Rapid fire presentations should last no longer than 3 minutes with 1 further minute for questions from the audience. We strongly recommend that you do not use more than 2-3 PowerPoint slides for the rapid fire presentations.

  • Ensure that you are in the right conference room well in advance of the start of your session.

  • Introduce yourself to the chairperson well in advance of the start of your session.

  • Inside each lecture room, a technical assistant starts each presentation at the right time using one of our fixed computers connected to the central congress network. When the presentation is launched, the speaker has control and can navigate with a remote device.

  • We do not allow the use of personal laptops for presentations. If you bring your laptop to the congress, the technician will copy the files on your hard disk of the laptop into the central congress network, so the laptop will no longer be needed. Of course, the easiest way is to bring your presentation on a USB key.

  • E-mailing or up-loading of presentations is not encouraged but can be used in special circumstances.

  • If you are unable to attend the conference inform both the IOIS office mv@iois.info as soon as possible.

E-POSTER PRESENTERS

All e-poster presenters must prepare and submit their electronic poster online through the PosterSessionOnline service.  


The deadline for submitting your e-poster for display is 7 November.
